Gymisphere is operated by Be Strong Systems LLC ("we", "us"). This policy explains what we collect, why, who else sees it, and how to get it removed. It covers gymisphere.com and the application at app.gymisphere.com.
Gym staff and owners. When someone signs a gym up, we decide how their account data is handled, so we are the controller of it.
Gym members.Everything a gym records about its members — names, contact details, belts, attendance, signed paperwork, payments — belongs to that gym. The gym decides what to collect and how long to keep it; we only process it on the gym's instructions. If you train at a gym that uses Gymisphere and want your data corrected or deleted, ask your gym first: they can do it themselves, and we'll help them if they ask.
We keep this list short on purpose. Today it is:
We do not sell personal information, and we do not share it for advertising. We don't use gym or member data to train machine-learning models.
Gyms enrol children, so records about minors are often present. Those records are entered by the gym under its own relationship with the parent or guardian, and the gym is responsible for obtaining consent. We don't knowingly collect information directly from a child.
Gym and member records are kept while the gym's account is open, and deleted within 30 days of a gym closing its account and asking us to remove them. Encrypted backups are kept for up to 30 days, so data may persist in a backup for that period after deletion. Payment records are retained as long as tax and accounting rules require, typically seven years.
Traffic is encrypted in transit. Passwords are hashed. Backups are encrypted. Access to the production database is limited to the people who operate the service. Every gym's data is separated by gym at the database layer, so one gym cannot read another's.
Depending on where you live, you may have the right to see the personal information held about you, to correct it, to have it deleted, or to receive a copy. Gym members should contact their gym, which controls those records. Gym staff can contact us directly and we will respond within 30 days. We will not treat you differently for exercising these rights.
If this policy changes in a way that matters, we will tell gym owners by email and update the version above. Continuing to use Gymisphere after a change means the new version applies.
